Finding the right photocopier for your office can be hard. There are hundreds of copiers available on the market today, each with their own unique selling points.
When it comes down to it, most people want the same thing: a high-quality, reliable and cost-effective machine that doesn't require constant attention. Printer and copier leases are a popular way for forward-thinking businesses to get the best model out there for a low upfront cost.
Most offices appreciate the flexibility that comes with a photocopier rental as the needs of a growing business can change rapidly. Leases can last for as little as 12 months before presenting the option to move on with a different model or extend the lease with the same machine.
So what do you need to look out for before signing on the dotted line of a printer or copier lease? Here are a few things to consider.

The total amount payable
Most office equipment suppliers and leasing companies operate in a fair and ethical way, however, there are some exceptions.
The last thing you want when you are trying to save money by renting a photocopier is to wind up getting ripped off. But if you don't carefully review the fine print in your photocopier lease, there's a chance this could happen.
If the total amount payable under your lease is more than the cost of buying the copier outright, obviously you should not enter into that lease. Do your research and work out the total cost payable by you over the full term of the lease, especially if you are looking at a used photocopier rental.
Always read the fine print and check that your contract reflects the amount you have discussed and what you have been told. Inspect your printer or copier when it arrives at your office to ensure you have received the correct model and all agreed extras.
The cost of copy volume
It is common in printer and copier leases for the total cost to be calculated on the volume of copies required rather than the total length of time the machine is needed. An office will typically be classified as low, moderate or high volume in terms of how how many copies per week on average it makes.
Issues can arise if the leasing company's estimate of an office's copy volume is inaccurate. Be careful not to agree to pay for a minimum number of copies over the term of the contract if you think your usage will regularly fluctuate or not meet that quota.
The majority of office equipment suppliers will work with you, not against you, in this regard by providing the option to upgrade your rental or volume as your needs change and evolve.
However, it's always a good idea to ensure you have a flexible lease and ongoing support right through to the end of your rental contract.
The use of reconditioned parts
There's nothing wrong with renting or buying a used photocopier - far from it, it's a great solution for growing companies that want to save as much as possible on costs. At Copysonic, we sell and lease secondhand photocopiers that are fully refurbished and come with the same warranties as brand new machines.
That said, other office equipment suppliers sometimes trick customers by selling what they claim to be a new machine when it is fitted out with old parts from retired machines. They sell machines that are actually older than their promised age, including 'new' copiers which have already been used a few times (this is referred to in industry speak as 'copy count').
A good indication of an honest photocopier supplier is one that has been trading for a long time and has a sound reputation. Ultimately, they should be ready to answer all your questions about the photocopier you're leasing, including whether it contains any used or refurbished parts, and exactly how much you'll be paying for it.
